1. Who We Are

This website is operated by Customs Meridian (the "Company", "we", "us" or "our"), a customs consultancy based in India. For the purposes of the Digital Personal Data Protection Act, 2023 ("DPDP Act"), we act as a Data Fiduciary in respect of the personal data we collect from you through this website.

2. What Personal Data We Collect

We collect personal data that you voluntarily provide to us when you interact with the website. Specifically:

(a) Contact / enquiry form

  • Your name
  • Company name (optional)
  • Business email address
  • Phone number (optional)
  • Service you are interested in
  • Message content describing your enquiry
  • Your consent to this Privacy Policy (captured as a checkbox)

(b) Direct contact channels

If you choose to contact us through the WhatsApp or Cal ID booking link, or by email or phone, the personal data you provide through those channels (including, where applicable, your WhatsApp phone number, profile name, and the contents of your messages or scheduled meetings) will be received by us.

(c) Technical / browser data

We do not currently use third-party analytics, advertising trackers, or first-party localStorage for any purpose on this website. See our Cookie Policy for more detail.

3. Purpose of Processing

We process your personal data for the following specified purposes:

  • To respond to your enquiry and provide the information or services you have requested;
  • To follow up on consultations, scheduled calls, or commercial discussions you have initiated;
  • Where you become a client, to perform our contractual obligations to you, including invoicing, communications, and service delivery;
  • To comply with our legal, regulatory and statutory obligations under Indian law (including the Customs Act, 1962 and applicable tax laws);
  • To maintain records for audit and dispute-resolution purposes.

4. Lawful Basis

Under the DPDP Act, we rely on your consent (collected via the consent checkbox on the contact form, and by your voluntary act of writing to us or scheduling a call) as the lawful basis for processing your personal data for the purposes set out above. Where we process data because it is necessary for the performance of a contract with you, or to comply with a legal obligation, we rely on those bases as permitted by law.

5. How We Share Your Data

We do not sell your personal data. We share your personal data only as follows:

  • Form submissions from the website are transmitted to and processed by Formspree, our form-handling service provider, which delivers the submission to our email inbox.
  • WhatsApp messages sent via the website's contact button are processed by WhatsApp / Meta in accordance with their privacy practices.
  • Scheduled calls booked via the website's "Book a consultation" button are processed by Cal ID (cal.id, operated by OneHash), our scheduling service provider.
  • Email correspondence may be processed by our email service provider (for example, Google Workspace or an Indian equivalent).
  • We may disclose personal data where required to do so by law, court order, or competent regulatory authority (including the Central Board of Indirect Taxes and Customs).

Each of the third-party processors named above maintains its own privacy notice. We encourage you to review them.

6. International Transfers

Some of the third-party service providers listed above may process personal data on servers located outside India. We rely on the contractual and technical safeguards offered by those providers and, where the DPDP Act requires, will not transfer personal data to countries notified by the Central Government as restricted destinations.

7. Retention

We retain your personal data for as long as is necessary to fulfil the purposes for which it was collected, and for a reasonable period thereafter to handle queries, complaints, and to meet legal and audit requirements. Enquiry data from prospects who do not engage us is typically retained for up to one month before being deleted, unless a longer period is required by law. Client records are retained for the duration of the engagement and for the period mandated by applicable tax and customs law.

8. Your Rights as a Data Principal

Subject to the DPDP Act and its implementing rules, you have the following rights:

  • The right to obtain a summary of the personal data we are processing about you;
  • The right to correction, completion, updating, or erasure of your personal data;
  • The right to withdraw consent at any time (which will not affect the lawfulness of processing carried out before withdrawal);
  • The right to nominate another individual to exercise these rights on your behalf in the event of your death or incapacity;
  • The right of grievance redressal through our Grievance Officer (see below).

We will respond to grievances within the timelines prescribed by the DPDP Act and its rules. If you are not satisfied with our response, you may approach the Data Protection Board of India.

10. Security

We take reasonable security safeguards to protect your personal data against unauthorised access, alteration, disclosure or destruction. These include using HTTPS for the website, restricting access to enquiry data to authorised personnel, and selecting service providers that maintain industry-standard security practices. No system, however, can guarantee absolute security.

11. Children

This website and our services are intended for businesses and professionals. We do not knowingly collect personal data from individuals under the age of 18. If you believe a minor has provided personal data to us, please contact us so we can remove it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect the most recent revision. Material changes will be communicated through a notice on this website.
